Running a trucking company means more than moving freight. Revenue must be billed and collected, broker deductions need to be reviewed, drivers and employees must be paid, fuel and operating costs must be tracked, and financial records must show how the business is performing.

Our trucking accounting team manages the financial details behind your fleet. We organize records, track money coming in and going out, review important charges and expenses, reconcile transactions, prepare reports and help you understand your company’s financial position. We do more than enter numbers — we help make them accurate, organized and useful for management decisions.

You focus on moving freight. We help keep your financial operations organized, monitored and under control.

Accounting

How we work.

  • 01

    Bill & invoice

We review load billing information, check the Rate Confirmation and required supporting documents such as POD/BOL, prepare invoices and submit them according to broker or customer requirements.

  • 02

    Track & collect

We monitor outstanding invoices and payment status, follow up on overdue amounts, and review short payments, deductions and other discrepancies that may reduce expected revenue.

  • 03

    Pay & settle

We organize company bills, driver and employee payroll, and owner-operator settlements. We maintain clear records of payments, deductions, reimbursements and amounts still due.

  • 04

    Reconcile & report

We categorize transactions, reconcile accounting and bank records, review expenses and prepare reports showing revenue, costs, profitability, trends and upcoming obligations.

What’s included

One team.
Your entire accounting.

Billing, collections, payables, payroll, settlements, factoring, fuel, expenses, IFTA, reporting and planning — everything your trucking business needs to stay organized and financially in control.

  1. Billing & receivables

    1. 01Billing & invoicing

We manage the billing workflow from completed-load information to invoice submission and tracking. We review Rate Confirmations and supporting documents such as POD/BOL, check required billing details, prepare invoices and follow broker or customer billing instructions. We also identify missing information or discrepancies that could delay submission or payment.

      What this includes

      • Invoice preparation and submission
      • Rate Confirmation review
      • POD/BOL and supporting-document checks
      • Broker/customer billing requirements
      • Invoice status tracking
      • Billing corrections and missing information
    2. 02Accounts receivable & broker charge review

We track the money your company has earned and monitor whether invoices are paid in full and on time. When a broker payment is short, delayed or reduced by a deduction, we review the available payment details and supporting information to identify the reason and coordinate follow-up when clarification is needed. Charges are not simply accepted without review.

      What this includes

      • Open invoices and A/R aging
      • Payment status and overdue follow-up
      • Short-payment and missing-payment investigation
      • Toll and accessorial deductions
      • Lumper and damage-related charges
      • Duplicate, unexplained or unsupported deductions
      • Payment reconciliation and broker communication
  2. Payables, payroll & settlements

    1. 03Accounts payable

We organize bills and payments your company owes to vendors and service providers. We categorize outgoing expenses, monitor due dates and maintain records of paid and unpaid bills so management can see current obligations and keep recurring payments organized.

      What this includes

      • Vendor bills and outgoing payments
      • Payment due-date tracking
      • Maintenance and repair bills
      • Recurring bills and subscriptions
      • Payment records and reconciliation
      • Visibility into upcoming payables
    2. 04Driver payroll

We organize driver compensation calculations and payroll records based on the company’s pay structure. Depending on the arrangement, this may include mileage-based or load-based pay, percentage pay, bonuses, advances, reimbursements and deductions. We can prepare clear driver earnings and deduction reports for internal records and year-end tax preparation support.

      What this includes

      • Mileage/load and percentage calculations
      • Driver earnings records
      • Bonuses and reimbursements
      • Advances and deductions
      • Payroll reports
      • Year-end earnings and deduction summaries
    3. 05Owner-operator settlements

We prepare clear settlement calculations showing how gross revenue becomes the final amount payable to an owner-operator. Settlements can reflect the agreed rate or percentage and applicable deductions such as fuel, insurance, advances and other authorized charges. Each statement should make the calculation traceable and understandable.

      What this includes

      • Gross revenue and agreed compensation
      • Fuel and insurance deductions
      • Advances and other authorized charges
      • Net settlement calculation
      • Settlement statements and records
    4. 06Employee payroll

We organize payroll records for office staff and other company employees separately from driver payroll. From salary tracking to bonuses and employee-related charges, we help keep payroll records accurate, organized, and easy to review while giving management a clearer picture of overall labor costs.

      What this includes

      • Employee salary records — organized records of employee salaries, pay rates, and payment history.
      • Payroll expense tracking — tracking total salary expenses and related employer payroll costs.
      • Employee charges & bonuses — recording employee-related charges, performance bonuses, incentives, and additional compensation.
      • Payroll adjustments — documenting payroll corrections and adjustments with supporting records.
      • Labor-cost reports — reports showing employee payroll expenses and overall labor costs.
      • Payroll reconciliation — comparing payroll records with payment records to identify discrepancies and maintain accurate accounts.
  3. Factoring, fuel & expenses

    1. 07Factoring accounting

When your company uses a factoring provider, we record and reconcile the accounting side of those transactions. This includes advances, factoring fees, reserves and reserve releases so the company’s books align with actual cash movement and outstanding balances. We provide accounting support; we do not provide factoring funding.

      What this includes

      • Factored invoice tracking
      • Advance and fee recording
      • Reserve and reserve-release tracking
      • Factoring deductions
      • Balance reconciliation
    2. 08Fuel accounting & monitoring

Fuel is one of the largest recurring trucking expenses. We record and review fuel transactions using available information such as gallons, price per gallon, total cost, transaction date and truck or driver assignment. We can flag unusual spending patterns, duplicate transactions or significant changes for further review, giving management better visibility into fuel costs.

      What this includes

      • Fuel-card and fuel transaction records
      • Gallons and price-per-gallon tracking
      • Fuel expense by truck/driver where data is available
      • Fuel reconciliation
      • Duplicate or unusual transaction review
      • Fuel cost trends and reporting
    3. 09Expense accounting & large expense review

We organize truck and company operating expenses into clear categories and review significant or unusual transactions. Beyond recording costs, we help identify expenses that need a closer look, such as duplicate charges, unexplained increases, large repair invoices or transactions with incomplete supporting documentation. Items needing operational approval or investigation are flagged for management.

      What this includes

      • Truck and company expenses
      • Maintenance, repairs, tolls and parking
      • Permits, registration, equipment and subscriptions
      • Large or unusual expenses
      • Unexpected increases and duplicate charges
      • Missing receipts or supporting documents
      • Expense categorization and trend reporting
  4. Tax, reporting & planning

    1. 10Tax & IFTA support

We organize financial, fuel and mileage records needed to support tax preparation and IFTA reporting. Before tax season, we can prepare year-end accounting reports, review expense categories and organize supporting documents for the company’s CPA or tax professional. For IFTA, we organize the fuel purchases, gallons, mileage and jurisdictional records behind the quarterly returns our Safety team files. Income tax advice and filing are handled by your CPA or tax professional.

      What this includes

      • Year-end revenue and expense records
      • Tax-preparation support reports
      • Organized records for a CPA or tax professional
      • Fuel purchase and gallon records
      • Mileage and jurisdictional information
      • IFTA support schedules and documentation
    2. 11Bookkeeping & financial reporting

We maintain organized accounting records by categorizing financial transactions and reconciling available bank and account information with the books. We prepare revenue, expense and management reports that give the company a consistent view of its financial activity. These reliable records also support profitability analysis and informed business decisions.

      What this includes

      • Transaction categorization
      • Bank and account reconciliation
      • Revenue and expense records
      • Accounts receivable/payable reconciliation
      • Monthly financial reports
      • Management reporting and organized accounting records
    3. 12Profitability analysis

Revenue alone does not show whether a trucking company is performing well. We analyze available financial and operating data to show how revenue compares with expenses and what remains as profit. Where reliable data is available, we can review performance by truck, load or mile and compare results across periods to understand whether the business is becoming more profitable as it grows.

      What this includes

      • Revenue, expenses and operating profit
      • Profit margin
      • Profit per truck or load where data is available
      • Revenue per mile and cost per mile
      • Fuel, payroll, maintenance and other cost analysis
      • Revenue, expense and profit growth trends
    4. 13Expense forecasting & financial planning

We help management look ahead by organizing known recurring obligations and using historical expense patterns to estimate upcoming financial requirements. Forecasts are planning tools rather than guarantees, but they make expected costs more visible and support better cash-flow decisions.

      What this includes

      • Upcoming payroll and employee costs
      • Insurance installments
      • Recurring vendor bills and subscriptions
      • Expected maintenance and equipment costs
      • Fuel-spending trends
      • Known tax and reporting obligations
      • Monthly expense planning

Review

Financial control
& review.

Our accounting process is designed to do more than enter data. We review financial activity for differences, unusual changes and items that need attention. Depending on the records available, this may include:

  • Broker payments that do not match the expected amount
  • Unexplained deductions or charges
  • Duplicate transactions or bills
  • Unusual fuel activity or sharp fuel-cost increases
  • Large repairs or vendor expenses
  • Unexpected increases in recurring costs
  • Missing or incomplete supporting documentation
  • Differences between bank activity and accounting records

We document and communicate items that require review. Where a charge depends on an external party, we can help coordinate follow-up but cannot guarantee that a broker, vendor or other party will reverse it.

Reporting

What management
can see.

  • Revenue

How much the company earned during a selected period and how revenue compares with prior periods.

  • Expenses

How much the company spent, which categories account for the largest costs and which expenses are increasing.

  • Profit and margin

How revenue compares with expenses and what remains as operating profit, with profit margin calculated where records support it.

  • Truck and mile performance

Where reliable operating data is available, reports can include revenue per mile, cost per mile and profitability by truck or load.

  • Business growth

Comparisons of revenue, expenses and profit over time to show whether the business is growing efficiently or costs are rising faster than revenue.

  • Upcoming obligations

Visibility into known recurring bills and planned costs such as payroll, insurance, subscriptions and expected maintenance.

We check fuel, tolls and big expenses one by one, and we review every broker short-pay and follow up on it.

A clear picture: what was spent, what was earned and what the profit is per truck.
